Users
It’s difficult to wear all the hats when you run a company.You have to delegate some of your responsibilities to others.
With Zoho Payroll, you can invite your payroll admin to enter hours, process payroll, and pay your employees for you.
Adding Users
Zoho Payroll allows you to add unlimited users. To do this:
- Click Settings and select the Users tab.
- Click Invite User on the top right hand side of the Users page.
- In the pop-up that appears, enter the name and email address of the user. Zoho Payroll currently supports only one role - Payroll Admin (a user who is assigned this role, will be able to access all the modules available in Zoho Payroll).
- Click the Invite button to send the email invitation.
- The user needs to click the Join Account link provided in the email to gain access to the organization they are invited to.
If the user is already registered with Zoho Payroll, they can login straight away using their credentials.
Deleting Users
To delete a user, please perform the following steps:
- Click the Settings option and select the Users tab.
- Hover over the row of the user you wish to delete and click the Gear icon located on the right side and select Delete.
- A pop-up window will appear, asking if you wish to delete the user. Click Yes to confirm.
Note:
- Only an admin can delete users but he cannot delete an active user. An admin cannot delete his or her own account.
- At any given point in time there has to be at least one admin.
Making a User Inactive
If for some reason you don’t want to permanently delete a user, but would rather prevent or restrict them from accessing Zoho Payroll, you can do change the user’s status to inactive.
This ensures that the person is no longer able to use Zoho Payroll. If you wish to undo this action, you don’t have to worry as the user will still remain in the list of users.
To change the user’s status, follow these steps:
- In the Users screen, hover over the row of the user whose account you wish to disable.
- Click Mark as Inactive button under the gear icon.
You can choose to reactivate their account any time by following the same steps as above.
