Sales Reports
Sales reports in Zoho Inventory help you analyse revenue, monitor item performance, evaluate your sales team, and track order fulfilment. Go to Reports from the left sidebar, then select Sales from the Report Category list.
Sales by Customer
The Sales by Customer report provides a customer-level view of your sales transactions. It shows the total number of invoices and the total sales amount per customer for a selected period, helping you track revenue by customer and identify your most valuable accounts.
Scenario: The sales team at Zylker Inc wants to understand customer contributions to annual revenue and identify trends in customer purchases. Bailey generates the Sales by Customer report to see total sales for each customer, helping the team focus on top accounts and plan outreach strategies accordingly.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales by Customer.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- NAME: Name of the customer associated with the sales transactions.
- INVOICE COUNT: Total number of invoices recorded for the customer during the selected period.
- SALES: Total sales amount generated from the customer, excluding taxes.
- SALES WITH TAX: Total sales amount generated from the customer, including applicable taxes.
Click any value in the INVOICE COUNT, SALES, or SALES WITH TAX columns to drill down into a customer-level report showing all invoices for that customer.
Sales by Item
The Sales by Item report shows sales performance grouped by individual items within a selected period. It consolidates sales data from invoices and credit notes, helping you understand how each item contributes to overall revenue and identify your best-selling and lowest-performing products.
Scenario: Zylker Manufacturing’s sales team wants to understand which products performed well over the year. Bailey generates the Sales by Item report to analyse item-wise sales and identify high-performing and low-performing products so the team can adjust their stocking and pricing strategy.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales by Item.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the item sold.
- SKU: Stock Keeping Unit used to uniquely identify the item.
- QUANTITY SOLD: Total number of units sold for the item during the selected period.
- AMOUNT: Total sales value generated by the item.
- AVERAGE PRICE: Average selling price of the item, calculated based on the Amount and Quantity Sold.
The report covers both inventory-tracked and non-inventory items. Click an item name to open the item’s details page. Click any value in the QUANTITY SOLD, AMOUNT, or AVERAGE PRICE columns to see a drill-down report showing all invoices for that item.
Order Fulfillment By Item
The Order Fulfillment By Item report shows the fulfilment progress of each item across all sales orders in a selected period. Use it to track how much of each item has been packed, shipped, delivered, and invoiced.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Order Fulfillment By Item.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the item on sales orders.
- SKU: Stock Keeping Unit of the item.
- QUANTITY ORDERED: Total quantity ordered across all sales orders in the period.
- CANCELLED: Quantity cancelled from sales orders.
- DROPSHIPPED: Quantity fulfilled via dropshipping.
- FORCE FULFILLED: Quantity manually marked as force fulfilled.
- TO BE PACKED: Quantity yet to be packed.
- TO BE SHIPPED: Quantity packed but not yet shipped.
- TO BE DELIVERED: Quantity shipped but not yet confirmed as delivered.
- TO BE INVOICED: Quantity fulfilled but not yet invoiced.
- AVAILABLE TO PICK: Quantity in the warehouse available for picking.
- YET TO PICK: Quantity still to be picked from the warehouse.
Sales Return History
The Sales Return History report provides a detailed view of all sales returns within a selected period. Use it to track returned items, monitor pending or requested refunds, and reconcile returns with invoiced amounts.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales Return History.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- CUSTOMER: Customer who returned the items.
- SALES RETURN#: Unique reference number of the sales return.
- RETURN DATE: Date on which the sales return was created.
- SALES ORDER DATE: Date on which the original sales order was placed.
- SALES ORDER#: Reference number of the sales order associated with the return.
- PENDING REFUND: Amount yet to be refunded to the customer.
- REQUESTED REFUND: Refund amount requested by the customer.
- RETURN QUANTITY: Total quantity of items returned.
- STATUS: Current status of the sales return (e.g., Approved, Declined).
- RETURN AMOUNT: Total value of the items returned.
- INVOICED AMOUNT: Amount originally invoiced for the returned items.
- RECEIVE STATUS: Whether the returned goods have been received back into the warehouse.
- REFUND STATUS: Current status of the refund.
Sales by Salesperson
The Sales by Salesperson report shows individual sales performance for each salesperson - including invoice totals, credit note adjustments, and net figures. Use it to evaluate contributions, identify top performers, and support incentive calculations.
Note: Invoices without an assigned salesperson are grouped under Others.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales by Salesperson.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- NAME: Name of the salesperson.
- INVOICE COUNT: Total number of invoices assigned to this salesperson.
- INVOICE SALES: Total sales value from invoices, excluding taxes.
- INVOICE SALES WITH TAX: Total invoice sales value including taxes.
- CREDIT NOTE COUNT: Total number of credit notes raised against this salesperson’s invoices.
- CREDIT NOTE SALES: Total value of credit notes issued, excluding taxes.
- CREDIT NOTE SALES WITH TAX: Total credit note value including taxes.
- TOTAL SALES: Net sales (invoice sales minus credit note sales), excluding taxes.
- TOTAL SALES WITH TAX: Net sales including taxes.
Sales Summary
The Sales Summary report shows a day-by-day breakdown of total sales for a selected period - including invoice count, total sales, and tax collected. Use it to identify daily revenue trends and spot high-performing or low-performing periods.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales Summary.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- DATE: Date for which daily sales figures are shown.
- INVOICE COUNT: Total number of invoices raised on this date.
- TOTAL SALES: Total sales value for the day, excluding taxes.
- TOTAL SALES WITH TAX: Total sales value for the day including taxes.
- TOTAL TAX AMOUNT: Total tax collected on the day.
Profit By Item
The Profit By Item report shows the gross profit and margin for each item over a selected period. Use it to identify your highest-margin products and items where pricing or cost adjustments are needed.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Profit By Item.
- Set a Date Range and Report By (Invoices or Sales Orders).
- Click Run Report.
This report includes the following columns:
- ITEM NAME: Name of the item.
- SKU: Stock Keeping Unit of the item.
- MARGIN: Gross profit margin percentage.
- QTY SOLD: Total quantity sold during the period.
- TOTAL SALES: Total sales value, excluding taxes.
- TOTAL SALES WITH TAX: Total sales value including taxes.
- TOTAL COST: Total cost of goods sold.
- PROFIT: Gross profit (Total Sales minus Total Cost).
Sales Channel Integrations Sync Summary
The Sales Channel Integrations Sync Summary report shows a log of all synchronisation activity between Zoho Inventory and your connected sales channels. Use it to monitor sync health, identify failed syncs, and troubleshoot integration issues.
To generate this report:
- Go to Reports from the left sidebar.
- Select Sales from the Report Category list.
- Click Sales Channel Integrations Sync Summary.
- Set a Date Range and any additional filters.
- Click Run Report.
This report includes the following columns:
- SYNC DATE: Date and time of the sync attempt.
- INTEGRATION: Name of the integrated sales channel (e.g., Shopify, Amazon).
- STORE: Store or marketplace associated with the sync.
- SYNC TYPE: Type of sync operation (e.g., Orders, Products, Stock).
- SUCCESSFUL SYNCS: Number of records that synced successfully.
- FAILED SYNCS: Number of records where the sync failed.
- TOTAL ATTEMPTS: Total number of sync attempts in this batch.
