  • Signer groups: Administrators can now create and manage signer groups in Zoho Sign, with each group accommodating up to 10 recipients. These groups can be included as recipients in a signature workflow. While all group members have access to the document, only one member is required to sign it. Once a member signs, the remaining members will retain access to the document but will no longer be able to sign.

  • Digital signatures via Evrotrust: Organizations based in our US data center can now digitally sign documents with a qualified electronic signature (QES) in the European Union (EU) and an advanced electronic signature in Kenya and other countries. These digital signatures are issued to signers by Evrotrust, a qualified trust service provider (QTSP) in the EU, which also issues digital certificates in other countries. Documents signed using these signatures are legally valid under the eIDAS regulation (EU 910/2014) and other prominent e-signature laws worldwide. This integration requires organizations to be registered with Evrotrust as a vendor and incurs an additional cost.

  • Triggering webhooks based on criteria: Users can now specify trigger criteria to be applied to webhook callback events. Callbacks will only be triggered for events that match the specified criteria. If no criteria are set, callbacks will be triggered for all selected events.
  • Support for multiple recipient groups in bulk send: Users can now create CSV files containing role emails and role names based on the signer's role, then import them when adding recipients in bulk. The roles defined in the template will automatically appear in the drop-down menu in the bulk import recipients dialog box, and recipients will be matched with their corresponding roles. This feature allows users to add up to five recipient groups when using templates instead of the previous limit of just one per envelope.
  • Grouping for checkbox fields: Users can now group checkbox fields added to documents or templates, allowing them to specify the required number of checkboxes signers must select.

  • Digital signatures via emdha for Saudi Arabia: Organizations based in our Saudi Arabian data center can now get their documents digitally signed with digital signatures issued by emdha, a trust service provider regulated by the Kingdom's Digital Government Authority (DGA) and licensed by the Communications, Space and Technology Commission (CST). It requires users and signers to enter their national ID or Iqama and perform authentication via the Nafath app to receive the digital signature certificate. Documents signed using this service carry an embedded timestamp and are fully compliant with the Saudi law governing electronic signatures. This integration incurs additional cost, and can be used by both users of Zoho Sign and external signers.

  • Custom fields: Users can now create dynamic, reusable signer fields customized to their needs within documents. This also allows them to define a variety of properties for the data being collected in these fields, such as field type, validation, and formatting.
  • Conditional fields: Senders can now add additional signer fields, as well as remove and manage existing ones, depending on signer inputs in previous fields. This functionality allows them to collect and present data conditionally within documents based on the information entered by signers.
  • Formula fields: Senders can now automate field value calculations based on signer inputs in other previous fields. This helps update field values dynamically, reduce calculation errors, and ensure consistent data throughout the document.

  • Refer and earn program: Users can now invite others to try Zoho Sign and earn Zoho Wallet credits. For every qualified referral signup, users will instantly receive a $3 Zoho Wallet credit. When the referred individual becomes a paying customer, the user will earn 15% of their subscription fee in Zoho Wallet credits, valid for one year. Each referred individual will also receive $100 in promotional Zoho Wallet credits upon signing up. These credits can be used to purchase new Zoho products, renew subscriptions, and add user licenses.

Zoho Sign is available both as a standalone subscription and as a part of the Zoho One bundle.

This includes information such as the datacenter, organization portal ID, request ID, and document ID, which can be used in development and support-related operations for troubleshooting and other purposes.

  • NOM 151 certification via PSC World: Users based in our US datacenter can now get their signed documents certified under the Official Mexican Standard (NOM) with a conservation certificate, known as NOM 151. This certificate is issued by PSC World, a certification services provider (PSC) authorized by the Ministry of Economy in Mexico. These certificates denote data preservation and authenticity in the electronic format and ensure that the paperwork is fully compliant under Mexican law. This service incurs additional credits.

  • Webhook security using hash-based message authentication codes (HMAC): Users can now secure webhooks created in Zoho Sign using HMAC-SHA256 (Hash-based Message Authentication Codes with SHA-256 encryption), an industry standard symmetric hashing mechanism. Enabling HMAC signature ensures the authenticity and integrity of the webhook callback. This option can be enabled by accessing the security settings of the preferred webhook on the Zoho Sign web app.
  • Support for merging documents within envelopes: Users can now merge documents they upload to Zoho Sign into one or more files within the same envelope or document signature request before proceeding to sign them or send them out for signatures.
  • Attachment file size: Signers can now add attachments up to 25MB in size using the attachment field.
  • Option to merge multiple documents: Users can now merge multiple documents into one file after uploading them to Zoho Sign. This can be done by simply selecting the desired documents in an envelope and clicking the Merge Document button. However, documents with e-stamps can't be merged.

  • Option to disable life sciences control at the envelope level: Users now have the option to disable controls for life sciences at the envelope level when setting up the signature workflow to send documents out for signatures. This provides a hybrid system where administrators can let their users send specific documents without these controls while they are still enabled at the organization level.

Documents signed use these certificates are legally valid as per the Kenya Information and Communications Act, No. 2. This incurs additional cost.

  • Support for additional languages: Zoho Sign now supports four new languages—Bahasa Indonesia, Thai, Chinese (Traditional), and Vietnamese—across the app interfaces and the email communication sent to recipients based on sender configurations.
  • Control measures for life sciences and healthcare industries (v1.0): Organizations can now enable control measures for their users to operate Zoho Sign in compliance with various regulations and operational frameworks for life sciences and healthcare industries. Previously, this was restricted only to the United States FDA CFR Title 21 Part 11. But it has now been broadened to cover other frameworks such as the European Union Volume 4 Good Manufacturing Practice (GMP) Annex 11. Administrators can toggle this from Account settings to enable it across their entire organization.

  • Zoho Sign for iOS 17, iPadOS 17, and macOS Sonoma: Users can now use interactive widgets on all three platforms to send, sign, and track documents, and also send reminders to signers and approvers, directly from their device Lock Screen and Home Screen. Users can also perform some of these functions when their device is in the StandBy mode. The new TipKit feature assists users by displaying helpful tips and prompts, enabling them to use the right features at the right time.

  • Enhanced option to move documents to folders: Users can now select one or more documents from the list view on the All Documents page and quickly move them to a desired folder by simply clicking the Move to folder icon at the top of the page.
  • Option to reject physically signed and uploaded copies and request signatures again: Users can now reject a physically signed and uploaded document copy if the signer has committed an error or uploaded an unsuitable copy. This would then trigger a fresh document signature request asking the signer to sign the document(s) again. This does not affect the rest of the signature workflow and the request is only triggered to the signer who uploaded the rejected copy.

Change in Edition Features

  • Automation credits replaced by complimentary Zoho Sign credits: The monthly automation credits provided to organizations in the Enterprise plan are now replaced with an equivalent amount of complimentary Zoho Sign credits. This helps administrators avoid confusion by standardizing credit consumption across all types of automations. Organizations will now receive 5 complimentary Zoho Sign credits for each automation credit they are eligible to receive. These complimentary Zoho Sign credits will be consumed for all internal automations and integrations with other Zoho apps. Third-party integrations do not consume complimentary Zoho Sign credits and will still require the purchase of add-on Zoho Sign credits from the Zoho Store.

Administrators can enable this under the Domains tab in the Account settings section where they can also specify domains for which the warning should not be shown.
  • Customization of automatic signer field navigation: Administrators can now customize or disable the automatic navigation that occurs for signers across signer fields in documents. This can be done under the Recipient experience tab in the Account settings section.
  • Addition of request parameters to redirected URLs: Zoho Sign now allows administrators to append the request_id and action_id parameters to the redirection URLs when recipients are redirected to custom landing pages. This enhancement enables organizations to identify the visitors redirected to these pages and profile them as the recipients of specific documents sent via Zoho Sign.

  • Complete usage report for Zoho Sign credits and automation credits: Administrators can now view a more detailed usage history of their organization’s Zoho Sign credits and automation credits. This can be accessed from the Subscription details page, and the report can be generated for custom durations and also exported in the CSV format.

Changes in Edition Features & Trial

  • Organization activity history available across all paid editions: Administrators can now access a more detailed history of activity across users within an organization and generate activity reports across all the paid editions of Zoho Sign.
  • Support for switching plans within the Zoho Sign free trial: Organizations can now switch between different subscription plans during the 14-day free trial duration in Zoho Sign. This enables them to compare features available in the app across different editions and determine the plan that best suits their business needs. By default, the Enterprise edition will be assigned at the time of trial activation but administrators can modify this to switch to other plans from the Subscription details page.
  • Restricting on-demand emailing of documents in Free plan and free trial: The Email Document feature in the Document Details page is no longer available to users in the Free plan. Additionally, users in the free trial are now limited to using this feature to email documents to only one recipient per envelope.
  • Option to cancel free trial and switch to the Free plan: Users in the free trial now have the option to cancel their trial and switch to the Free plan at any point during the trial from the Subscription details page.

  • User assistance via contextual display of knowledge base articles: Users can now access relevant help documentation and articles from the Zoho Sign knowledge base based on their current page within the Zoho Sign web app by clicking the help icon at the bottom right corner.
  • Message board for announcements: Users can now receive announcements and important updates sent by the Zoho Sign team directly on the web app through a new message board. Users can access this by clicking the announcements icon at the top of their screens and go through the messages to learn about the latest features, enhancements, integrations, and other updates.

  • Option to view the template or SignForm used in creating document signature requests: Users can now view the templates or SignForms used for the creation of document signature requests under dedicated columns of the list view in the Documents tab. Clicking on the respective column entries will take them to the associated template or SignForm.

  • Integration with OpenAI Platform via Zia: Zoho Sign now integrates with the OpenAI platform to make use of the generative AI capabilities of ChatGPT within the app. Facilitated by Zia, our AI-powered assistant, users can choose to share data from their documents in Zoho Sign with ChatGPT to generate relevant responses suitable for scenarios such as document summarization.
  • Integration with Zoho Directory: Zoho Sign now integrates with Zoho Directory, Zoho's identity and access management platform. This integration enables administrators to add users to Zoho Sign and manage their access directly from Zoho Directory, facilitated by the Zoho single sign-on.

  • Scheduled sending of document signature requests: Users can now schedule documents to be sent for signatures at a later time in Zoho Sign. This allows users to specify the time at which the signature workflow triggers its documents to be delivered to the first recipient and comes in handy when requesting signatures or approvals from recipients residing in other time zones.
  • Support for merging templates: Users can now merge up to 10 Zoho Sign templates into a single document signature request to send them all out at once. Furthermore, users can now add documents to ad hoc document signature requests also from templates, in addition to local device and cloud storage, before sending them out.
  • Templates import and export: Users can now export Zoho Sign templates to their local device storage as ZIP files and import them back into Zoho Sign. The imported ZIP file must be in the same format as it was when the respective template was exported.
  • Prefill fields in all document signature requests: Users can now add prefill fields to all documents before sending them out for signatures. These fields allow senders to prefill data that they already have onto documents before initiating signature workflows. Prefill data can be fetched along with the rest of the signer field data upon document completion.
  • Option to add documents to folders when using templates: Users can now choose a folder to add the generated documents to when document signature requests are triggered using templates. A default folder to save documents to can be set for each template but this can be overridden to choose a different folder at the time of using the template.
  • Option to print documents directly from Zoho Sign: Users can now conveniently print documents directly from the Zoho Sign app without needing to download them. This action can be performed using the Print option from both the Document Details and the Document Viewer pages.
  • Enhancement to save the changes made to workflows and request settings in draft: Users can now save the changes made to sign workflow, recipient settings, and other configurations prior to field mapping when a document signature request is still in the draft stage. The saved document signature request can then be modified and submitted for signature collection anytime later.

Zoho Sign has partnered with IDology, a global identity provider, to offer this service. This service incurs additional cost and can be used by both users of Zoho Sign and external signers.
  • Qualified Electronic Signatures for Switzerland and the EU via Swisscom: Organizations based in our EU datacenter can now get their documents digitally signed with qualified electronic signatures (QES) issued by Swisscom Trust Services, an authorized Qualified Trust Service Provider (QTSP) in both Switzerland and the European Union. Documents signed using this service carry an embedded timestamp and are considered legally equivalent to documents signed by hand under the ZertES Swiss Federal law and the eIDAS regulation. This integration incurs additional cost, and can be used by both users of Zoho Sign and external signers.

  • Addition of options in bulk to the Dropdown signer field: Users can now add multiple options in bulk for the Dropdown signer field. This enables the addition of up to 100 options separated by commas to a field at a time.

License-related Service

  • Support for multiple organisations/portals: Users can now create or be a part of multiple organizations or portals in Zoho Sign using the same email address or Zoho account. Profiles maintained across different portals would each require a separate user license under the respective subscription plan.

In the case of the merged PDF file, the file will only contain the common digital signature certificate issued to Zoho Sign and the signatures of the individual signers will be captured merely as visible signatures.
  • Enhancements to setting up webhooks: Users now have the option to send a sample payload to the callback URL when setting up a webhook. This can be used to test the payload delivery and verify the webhook's configuration and connectivity.

Users can now duplicate a custom text field to create multiple occurrences of it by simply selecting it and then copy-pasting it onto the document and repositioning it wherever it needs to appear again. All the occurrences of the field will share properties and have the same data. Alternatively, users can add multiple text fields and set a common data label to make them share properties and data. Once a signer inputs the data in the first occurrence of a duplicated field, it is automatically filled in the subsequent occurrences.
  • Data merge in Bulk send: Users can now merge recipient data onto custom text fields in documents when sending them for signatures using the bulk send feature. The data for the custom text field must be included in the bulk recipients CSV file in additional columns with the columns carrying the same headers as the respective fields' data labels. Similarly, a private note can also be added for each recipient by including the data in a column titled 'private_notes' in the CSV file.
