Documents
The Documents module in your portal allows you to view and download files shared by your payroll admin. These may include important payroll documents such as offer letters, salary revision letters, employment agreements, and company policies.
Your payroll admin uploads and manages these documents from their side. You’ll only be able to access the ones they’ve shared with you.
Note: This help document is for the Documents module in the US edition of Zoho Spend.
Types of Folders
The Documents module is divided into two main folders:
Organization Documents
This folder contains documents that apply to the entire organization, such as company policies, payroll guidelines, or leave policies.
Other Documents
This folder contains documents specific to you, such as your offer letters, salary revision letters, and employment agreements.
Access Documents
To access the documents shared with you:
- Go to Documents under Payroll.
- Open the appropriate folder.
All documents that your employer has shared with you will be listed here, neatly organized in folders.
Within the Documents module, you can:
- View documents online (for supported file formats).
- Download any document that has been shared with you.
View a Document
To view a document:
- Go to Documents under Payroll.
- Open the appropriate folder and click the required file.
You can preview files of the following formats directly within Zoho Spend: PDF, GIF, PNG, JPG, and JPEG. For all other formats, you’ll need to download the file to your device to view it.
Download a Document
To download a document:
- Go to Documents under Payroll.
- Open the appropriate folder and click the required file.
- Click Download next to the document The file will be saved to your device.
Troubleshooting
If you believe a document should be visible to you but isn’t, reach out to your payroll admin. It’s possible that the document hasn’t been shared with you yet.
