Booking Options
Booking options are the different options of flights, hotels, car rentals, buses, and trains that are provided to you by travel agents for your business trip.
If you are going on a business trip, the travel agent provides you with options for booking your tickets based on your trip itinerary and mode of travel. You can select from the given options, and the travel agent will make the bookings and upload them in Zoho Spend. The booking confirmation can be downloaded for your future reference. Thus, Trip Options helps you with the entire booking process without any hassle. It also helps you track the booking status of your trip requests with ease.
Notes:
- Travel agent can add trip options only to the trip requests in Approved status.
- Booking options will be available only if the feature has been enabled by your admin.
Select a Booking Option for Your Trip Itinerary
You can select an option from the options provided by the travel agent. To select an option:
- Go to Trips on the left sidebar.
- Click the approved trip request for which your travel agent has added options.
- Click Select Option in the itinerary for which you want to select options.
- In the pop-up, you can view the options added by your travel agent. Select your preferred option.
- Click Confirm Selection.
Once you select an option, the travel agent will add the booking details. If cost approval is enabled by the admin, then the selected option will be sent for cost approval. If the option gets approved, the itinerary’s status will be updated to Booking Pending, and the Travel agent will make bookings for the trip. On the other hand, if the selected option gets rejected, you will receive an email notification, and the trip options will be open for selection again.
Select Another Option
If you want to select another option instead of the one already selected, you can do so.
Notes:
- You can change your option only if your admin has enabled the necessary permission.
- You cannot change your selection after the itinerary has been booked.
To select another option:
- Go to Trips on the left sidebar.
- Click the trip for which you want to change the option.
- Click Change Selection in the itinerary for which you want to change the selection.
- In the pop-up, select your preferred option.
- Click Confirm Selection. Your new option will be selected, and the trip itinerary will be automatically updated with the newly selected option.
Request More Options
If the given options don’t suit your travel plans, you can request for more options.
To request more options:
- Go to Trips on the left sidebar.
- Click the trip for which you would like to request more options.
- Click Request More Options in the itinerary for which you want to request more options.
- Specify a reason for requesting more options and click Request.
Once this is done, the itinerary’s status will be updated to More Options Requested. You can wait for the travel agent to add options, after which you can select an option and send it for approval.
View Booking Confirmation
Once the option is selected, the tarvel agent makes the bookings and adds the booking details to Zoho Spend. Once the travel agent adds the booking details, the booking process will be over, and you can view the booking confirmation.
To view booking confirmation:
Note: If cost approval is enabled, the selected option will be sent for approval. Only after the option is approved the travel agent will be able to make the bookings and add the booking details.
- Go to Trips on the left sidebar.
- Click the trip for which you would like to view the booking confirmation.
- Click View Booking Confirmation.
Download Booking Confirmation
Once the option is selected, the travel agent makes the bookings and adds the booking details to Zoho Spend. Once the travel agent adds the booking details, the booking process will be over, and you can download the booking confirmation.
Note: If cost approval is enabled, the selected option will be sent for approval. Only after the option is approved the travel agent will be able to make the bookings and add the booking details.
- Go to Trips on the left sidebar.
- Click the trip for which you would like to view the booking confirmation.
- Click View Booking Confirmation.
- Click the Download icon at the bottom of the page. Your booking confirmation will be downloaded.
