Request for Quotes Preferences

In this help document, you’ll learn the preferences you can configure for the Request for Quotes module in Zoho Spend.

To access the Preferences for the Request for Quotes module:

• Go to Settings in the top right corner of the page.
  (OR)
• Click Settings on the left sidebar.
• Click Request for Quotes under Procurement.

General Preferences

In the Preferences tab, you can configure the following:

Auto-Generate Request for Quote Number

The request for quote numbers are generated automatically by the system. You can however customize it by providing the Prefix and the Starts With number.

Bid Controls

You can enable the following preferences:

• Allow vendors to send multiple bids for a request for quote: Check this option if vendors can send multiple bids for one request for quote.
• Allow the request for quote owners to approve their request for quotes: Check this option if the users who create the request for quotes can approve their own request for quotes.
• Restrict vendors from sending bids with item price higher than the expected price: Check this option if vendors shouldn’t send bids with item prices higher than the expected price specified.
• Make vendor acknowledgement mandatory in bid invites: Check this option if vendors have to acknowledge bid invites before accepting them.
• Allow users to add bids on behalf of vendors: Check this option if you want users in your organization who are a part of the request for quote to create and submit bids on behalf of vendors. Learn more about Offline Bids.

Terms and Conditions

The terms and conditions entered here will be automatically reflected in all the request for quotes created in your organization.

Fields

If your business requires additional fields beyond the pre-defined fields in the Request for Quotes module, you can create them using Custom Fields.

Approvals

You can choose to enable or disable Approvals for the Request for Quotes module, and select the required Approval Type.

Award Approvals

You can choose to enable or disable Approvals for the awards created for request for quotes, and select the required Approval Type.
