Share Reports
In this help document, you’ll learn the different methods using which you can share reports in your Zoho Spend organization.
Export a Report
To export an expense report:
- Go to Reports on the left sidebar.
- Select the report you want to export.
- Click the More icon in the top right corner and click Export.
- Choose an export template from the dropdown or create a new template by clicking + New Template.
- Select the format in which you want to export the report in Export as. You can export reports in the CSV, XLS, and XLSX formats.
- Check I want to protect this file with a password if you want to secure the report and provide the Password.
- Check Mark this report as Exported if you want the reports to be shown under the Exported filter.
- Click Export.
Export Reports in Bulk
You can export the expense reports created for a particular period. Here’s how:
- Go to Reports on the left sidebar.
- Click the More icon in the top right corner and click Export Reports.
- Choose an export template from the dropdown or create a new template by clicking + New Template.
- Filter the reports you want to export in the Filter By Date field. The available options are:
- None: All the approved and reimbursed reports will be downloaded.
- Expense Date: Configure a Starting Date and an Ending Date. The expenses in the reports that were created between the starting date and the ending date will be downloaded. Select the Status of the reports you want to export.
- Submitted Date: Configure a Starting Date and an Ending Date. The expenses in the reports that were submitted between the starting date and the ending date will be downloaded. Select the Status of the reports you want to export.
- Approved Date: Configure a Starting Date and an Ending Date. All the reports that were approved between the starting date and the ending date will be downloaded. Select the Status of the reports you want to export.
- Select the format in which you want to export the report in Export as. You can export reports in the CSV, XLS, and XLSX formats.
- Check Include Sensitive Personally Identifiable Information (PII) while exporting if you want to include personally identifiable information.
- Check I want to protect this file with a password if you want to secure the report and provide the Password.
- Click Export.
You can also export a specific few reports and export them. Here’s how:
- Go to Reports on the left sidebar.
- Select the reports you want to export and click Export at the top.
- Choose an export template from the dropdown or create a new template by clicking + New Template.
- Select the format in which you want to export the report in Export as. You can export reports in the CSV, XLS, and XLSX formats.
- Check I want to protect this file with a password if you want to secure the report and provide the Password.
- Check Mark the reports as Exported if you want the reports to be shown under the Exported filter.
- Click Export.
Download a Report as a PDF
You can download an individual expense report as a PDF. Here’s how:
- Go to Reports on the left sidebar.
- Select the report you want to download as PDF.
- Click the More icon in the top right corner and click PDF.
- Select the method in which the expense report should be formatted in the PDF. You can choose from the following options:
- Standard: The expenses in the report will be displayed as they appear in the application.
- Group by Category: The expenses in the report will be grouped based on the expense categories.
- Group by Date: The expenses in the report will be grouped based on the date they were created.
- Click Download.
Print a Report
You can print an expense report. Here’s how:
- Go to Reports on the left sidebar.
- Select the report you want to print.
- Click the More icon in the top right corner and click Print.
- Select the method in which the expense report should be formatted. You can choose from the following options:
- Standard: The expenses in the report will be displayed as they appear in the application.
- Group by Category: The expenses in the report will be grouped based on the expense categories.
- Group by Date: The expenses in the report will be grouped based on the date they were created.
- Click Print.
