Projects
Create projects in Zoho Spend and track all expenses associated with each project. After creating a project, you can add the relevant users to it, enabling them to tag their project related expenses accordingly.
If the project is being carried out for a customer, you can also associate the customer to the project and mark the associated expenses as billable.
Statuses of Projects
Projects in Zoho Spend can be in one of the following statuses:
- All Projects: All the projects will be listed in this filter.
- Active Projects: All the active projects in your Zoho Spend organization will be listed in this filter.
- Inactive Projects: All the inactive projects in your Zoho Spend organization will be listed in this filter.
Add New Project
Here’s how you can add a project:
- Go to Settings on the left sidebar.
- Click Projects.
- Click + New Project.
- Enter the Project Name.
- Enter the Project Code and Description, if necessary.
- Select the Customer Name from the dropdown.
- Select the Project Head from the dropdown.
- If you want to associate this project with all the users, mark the Associate with all users checkbox.
- Under the Users section, click Associate User and select a user from the dropdown. The selected user will now be able to associate this project with an expense.
- Click Save. A new project will be created.
Associate Projects to Transactions
You can associate projects to the following modules:
- Trips
- Expenses
- Reports
- Advances
- Purchase Requests
- Purchase Orders
Here’s how you can associate projects to transactions:
- Create a new trip, expense, report, advance, purchase request, purchase order, or bill by clicking + New in the respective module.
- In the Project field, select the project from the dropdown.
- For Purchase Orders, click Show Additional Information next to the Item Details and select a project from the dropdown.
- Click Save
Import Projects
Here’s how you can import projects:
- Go to Settings on the left sidebar.
- Click Projects.
- Click the More icon at the top right corner.
- Click Import Projects.
- Click Choose File and select the file you want to import. Or, drag and drop the file that you want to import.
Pro Tip: To know the format of the import file, including the necessary columns and data, you can download the sample file and ensure that your import file matches it.
- Select the Character Encoding and File Delimiter.
- Click Next.
- Check the mapping of the fields and click Next.
- Click Import.
Add Custom Fields
Create custom fields to capture the specific information based on your needs for the projects.
Edit Projects
Here’s how you can edit the project details:
- Go to Settings on the left sidebar.
- Click Projects.
- Hover over the project you want to edit and click the More icon.
- Select Edit.
- Make the necessary changes and click Save.
Mark Projects as Inactive
Note: If you mark a project as inactive, employees will not be able to associate it with an expense.
Here’s how you can mark a project as inactive:
- Go to Settings on the left sidebar.
- Click Projects.
- Hover over the project you want to mark as inactive and click the More icon.
- Click Mark as Inactive.
Mark an Inactive Project as Active
Here’s how you can mark an inactive project as active:
- Go to Settings on the left sidebar.
- Click Projects.
- Hover over the inactive project you want to mark as active and click the More icon.
- Click Mark as Active.
Export Projects
Here’s how you can export a project:
- Go to Settings on the left sidebar.
- Click Projects.
- Click the More icon at the top right corner.
- Click Export Projects.
- Choose the Export File Format. You can choose from CSV, XLS, and XLSV.
- Enter the File Protection Password if you want to protect the export file.
- Click Export.
Delete Projects
Note: Deleting a project is permanent, and you will not be able to retrieve the project details.
Here’s how you can delete projects:
- Go to Settings on the left sidebar.
- Click Projects.
- Hover over the project you want to delete and click the More icon.
- Select Delete.
- Confirm your action by clicking Delete in the pop-up.
