Create Items
In this help document, you’ll learn the different methods by which you can create items in Zoho Spend.
Create an Item
To create an item:
- Click Items on the left sidebar.
- Click + New in the top right corner.
- Fill in the following details:
- Type: Choose if the item is a goods or a service item. You cannot change the item type after the item is used in a transaction.
- Goods: They are physical items like electronics, furniture, etc.
- Services: Non-physical items like apps, subscriptions, etc.
- Name: The name of the item.
- Unit: The method used to quantify or measure the item.
- Cost Price: The price at which the item was purchased.
- Account: The account used to track the purchase of the item.
- Description: Any notes or information related to the purchase of the item.
- Preferred Vendor: The vendor from whom you prefer to purchase the item.
- Type: Choose if the item is a goods or a service item. You cannot change the item type after the item is used in a transaction.
- Click Save.
With this, the item will be created. All the items created in your organization will be listed on the Items List page.
Clone an Item
If you want to create an item that has similar details to an existing item, you can clone the existing item. Here’s how:.
- Click Items on the left sidebar.
- Click the item that you want to clone.
- Click More in the top right corner and select Clone Item.
- Verify the details, make changes if required, and click Save.
Import Items
If you’ve already creadted items from external sources, you can import them into your Zoho Spend organization. Here’s how:
- Click Items on the left sidebar.
- Click the More icon in the top right corner.
- Hover over Import and click Import Items.
- Click Choose File and select the file you want to import. Or, drag and drop the file that you want to import.
Pro Tip: To know the format of the import file, including the necessary columns and data, you can download the sample file and ensure that your import file matches it.
- Select the Character Encoding and File Delimiter.
- Click Next.
- Check the mapping of the fields and click Next.
- Click Import.
