Reporting Tags

Reporting Tags act like labels you attach to a notebook or file. In Zoho Spend, you can add reporting tags to transactions, items, and vendors to make them easy to identify and organize.

As a growing business, you would have a rapidly expanding customer base spread across several domains and locations. So when you generate analytic reports, it becomes hard and confusing to find details pertaining to a particular domain or location.

By setting up reporting tags, you can link them to specific transactions, items, and vendors. Later, you can quickly filter analytics to see all your analytic reports based on the reporting tags.

Scenario 1: Brandon owns a manufacturing company. He wants to group the expenses based on the cost centers of the organization. He can create a reporting tag and add the cost centers as different options under it. Brandon can then associate them with the expenses individually or to a particular report to classify the expenses on the basis of cost centers easily.

Scenario 2: Patricia runs a travel and tourism agency and sells various travel packages such as guided tours, adventure trips, and seasonal holiday deals. She wants to track which packages (items) generate the highest revenue and which ones perform best during different times of the year. To achieve this, Patricia sets up reporting tags for each travel package and uses them to filter her reports. This helps her identify the most profitable locations and the best time of the year to visit them.

Scenario 3: Zylker Corporation works with a wide range of vendors to source office supplies, IT equipment, and professional services. To better manage vendor performance and spending, the procurement team wants to track vendors based on their business category, such as IT Services, Office Supplies, or Logistics. To simplify this, they create a reporting tag called Vendor Category with options for each type of service. Now, they can easily filter vendor reports by category, analyze spending patterns, and export data for specific vendor types whenever needed.

Create Reporting Tags

Note: You can create a maximum of 10 reporting tags and each reporting tag can have a maximum of 500 options.

You can create reporting tags based on your business needs. Here’s how:

  • Go to Settings on the left sidebar.

    Click Settings in the top right corner of the page.
  • Click Reporting Tags under Customization.
  • Click + New Tag in the top right corner.
  • Enter a Tag Name and provide the Options.
  • Add more options by clicking + Add another option or delete an option by clicking the Trash icon.
  • Click Save.

Edit Reporting Tags

Here’s how you can edit a reporting tag:

  • Go to Settings on the left sidebar.
    (OR)
    Click Settings in the top right corner of the page.
  • Click Reporting Tags under Customization.
  • Hover over the reporting tag and click Edit from the More dropdown.
  • Make the necessary changes and click Save.

Mark Reporting Tag as Inactive

Here’s how you can mark a reporting tag as inactive:

  • Go to Settings on the left sidebar.
    (OR)
    Click Settings in the top right corner of the page.
  • Click Reporting Tags under Customization.
  • Hover over the reporting tag and click Mark as Inactive from the More dropdown.

Delete Reporting Tags

Note: You cannot delete a reporting tag if it is associated with any transactions.

Here’s how you can delete a reporting tag:

  • Go to Settings on the left sidebar.

    Click Settings in the top right corner of the page.
  • Click Reporting Tags under Customization.
  • Hover over the reporting tag and click Delete from the More dropdown.
  • Confirm your action by clicking OK in the pop-up.

Associate Reporting Tags to Transactions

Once you have created reporting tags, you will be able to associate them to transactions. Here’s how:

  • Open the record for which you would like to associate a reporting tag.
  • Click the Edit icon at the top right corner.
  • If you want to associate a reporting tag to a purchase transaction:
    • Scroll down to the Item Details section and click the More icon next to the item.
    • Click Show Additional Information and select the Reporting Tags dropdown.
    • Associate the required reporting tags.
  • If you want to associate a reporting tag to an expense or report:
    • Select an option from the reporting tag you’ve created.
  • Click Save.

Associate Reporting Tags to Items

You can associate reporting tags to the items in your organization. Here’s how:

  • Click Items under Purchases.
  • Create a new item by clicking + New at the top right corner or select an existing item.
  • Enter all your details and click Associate Tags at the bottom of the page.
  • Associate the required reporting tags and click Save.

Associate Reporting Tags to Vendors

You can associate reporting tags to the vendors in your organization. Here’s how:

  • Click Vendors under Purchases.
  • Create a new vendor by clicking + New at the top right corner or select an existing vendor.
  • Go to the Reporting Tags tab.
  • Associate the required reporting tags and click Save.

Generate Analytic Reports

After creating and associating reporting tags to your transactions, items, and vendors, you can generate analytic reports using the reporting tags filter. Here’s how you can generate an analytic report:

  • Click Analytics on the left sidebar.
  • Open the report that you want to customize using reporting tags.
  • Click + More Filters at the top pane.
  • Select the reporting tags from the dropdown and click Run Report to generate an analytic report based on the criteria you’ve set.
