Manage Custom Module Records

Learn how to manage the records created in the custom module in Zoho Spend.

Edit Records

Here’s how you can edit the records in a custom module:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record you want to edit.
  • Click Edit at the top of the record’s Details page.

  • Make the necessary changes and click Save.

You can also update the fields for multiple records at once using the Bulk Update feature. Here’s how:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the records that you want to update and click Bulk Update from the top pane.
  • Select the field you want to update and its corresponding value.
  • Click Update.

Clone Records

If you want to create a record that has details similar to an existing record, you can clone it. Here’s how:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record you want to clone.
  • Click the More dropdown at the top of the record’s detail page and select Clone.

  • Verify the details and make changes if necessary.
  • Click Save.

Download a Record as a PDF

Here’s how you can download a record as a PDF:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record that you want to download.
  • Click PDF at the top.

  • Click Save in the pop-up.

Here’s how you can print a record:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record that you want to print.
  • Click the dropdown next to PDF at the top and select Print.

  • Confirm your action by clicking Print again in the pop-up.

Share Records as Email

Here’s how you can share the records in a custom module via email:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record that you want to share.
  • Click Send Email at the top.

  • Enter the necessary details and click Send.

Sort Records

You can sort the custom modules based on their different columns or fields. Here’s how:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module for which you want to sort the records.
  • Click the More icon in the top right corner.
  • Click the column name which you want to sort. Click it again to change the sorting order.

  • The sorting can be done based on ascending or descending order (indicated by the arrow).

Rearrange Columns

In the custom module, you can choose the fields to be displayed in the list page. You can also rearrange the columns. Here’s how:

  • Go to Custom Modules on the left sidebar.
  • Click the Table icon next to the column name.

  • On the Customize Columns page:
    • Select the fields that you want to display.
    • Rearrange the order of the columns by dragging and dropping them.
    • Click Save.

Refresh List

You can refresh your custom module list to ensure that the latest records are displayed. Here’s how:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Click the More icon in the top right corner.
  • Click Refresh List.

Delete Records

Warning: Once a custom module record is deleted, it cannot be retrieved.

Here’s how you can delete the records in a custom module:

  • Go to Custom Modules on the left sidebar.
  • Open the custom module.
  • Select the record you want to delete.
  • Click the More dropdown at the top of the record’s detail page and select Delete.

  • Confirm your action by clicking Proceed in the pop-up.
