Germany edition

Launching the all-new Germany edition in Zoho Expense! When you select Germany as your location while creating an organization and enable VAT, Zoho Expense will preconfigure the applicable tax rates for businesses in Germany. Similarly, the mileage rates for Cars and Motorcycles as suggested by the German government will also be available by default, however, you can create your own rates for these vehicle types, based on your preference. You can also access Zoho Expense in the Deutsch language, if required.

iOS app updates

• Zoho Expense is now compatible with iOS17 and iPadOS 17! Access shortcuts from spotlight, view real time updates on the distance covered using GPS and the time left for your flight on your lock screen and dynamic island with live activities, and view pending tasks by Zia with interactive widgets. The macOS Sonoma updates were released on September 26.

• If you've enabled VAT for your Germany edition organizations, the government tax rates will be automatically available for you and the users can apply them to their expenses. Similarly, the government's mileage rates will also be readily available to apply to your mileage expenses.

Select delivery address for purchase requests

Users can now choose a delivery address while creating a purchase request. The organization's primary address will be prefilled by default. However, admins will be able to add a new address or edit the existing address.

Report automation for corporate card expenses

Automatically generate reports to compile the expenses of your corporate card, using Report Automation. Once you enable report automation, a report will be automatically created on the billing date and all the expenses incurred using your corporate card will be attached to the report. You can also configure automatic submission, if required.

Support for self-booking through GetThere

Users can now book their trips directly through GetThere from within Zoho Expense. Admins can select the users who can directly book tickets using GetThere from Zoho Expense and set up the organization's travel policies in GetThere so that the users can book tickets in compliance with the company's policies.

We've now provided an option to let users view the list of previous delegates that were assigned for them in My View and the admins can view the list of all the delegates that have been assigned for a user in the Admin View. Fetch Canadian tax rates automatically

When you create a new organization with Canada as the Location and enable Taxes, Zoho Expense will now fetch the Canadian government's tax rates and agencies automatically. Users can then apply these tax rates on their expenses. However, if you have custom tax rates, you can create them as well.

Per diem preferences for expense types

When you create a new expense type, you can now select if you want to configure per diem for the expense type. Additionally, you can choose if you want to record the expense type as a component or a supplement and select the ways by which you can record per diem expenses for this expense type.

Set up access duration for delegates

When you configure a delegate, you can now set up the start date and the end date by which the delegate should stop having access to your account. With this feature, you can easily assign delegates for future dates and adjust the access given to your account anytime.

Help text for custom fields

When you're creating a custom field, you can now add a note to help users understand the purpose of the field. You can enter the purpose in the Help Text field while creating the custom field. Once this is done, users will be able to view this text, when they hover over the help icon on the custom field.

Autoscan receipts inside reports

Upload receipts for autoscan inside reports. Once you upload a receipt from inside a report, the receipt will be autoscanned, converted into an expense, and get attached to the report automatically. You'll no longer have to add receipts inside the Expenses module and then add them to a report.

Revert custom status

In addition to the default statuses in Zoho Expense, you might have created your own statuses for the records based on your business needs. If you've applied any of these custom statuses on a record, you can now revert it back to its corresponding default status in Zoho Expense whenever required.

When you configure rules to set up limits for your expenses in the Policies page, you can now mark if the expense amount should be inclusive of tax. Effective date for policy rules

Add delegates for active users

In addition to deleted users, admins can now add delegates for active users. If there are cases where a user is away from office but has to submit a trip request or approve another user's trip immediately, then an admin can appoint a delegate for the user to perform actions on their behalf.

GPS mileage type for vehicles

Support for OAuth Authenticated Webhooks Using Connections

If your webhook's URL requires OAuth authentication, you can now set it up using Connections. First, create a connection with its authentication type as OAuth. Next, when you create a webhook, choose the Authentication Type as Connections, and select the connection you created with the OAuth authentication type. Once this is done, a webhook with OAuth authentication will be created in Zoho Expense.

Introducing the Zoho Expense - WAY2VAT integration. You can now reclaim VAT from your business expenses easily. Once you set up the integration, all the expenses and the expense receipts that are associated with reimbursed reports will be automatically synced with WAY2VAT for analysis. If the expenses are eligible for VAT reclaim, then WAY2VAT will help you receive the maximum refund based on the VAT rules.

Android App Updates

Now, you can upload up to 5 receipts at a time for autoscan from third party applications. If you enter the odometer start reading to create a mileage expense and put the app to background or the phone shuts down, the next time you open the app, the odometer reading will be remembered and prefilled so that you can create a mileage expense with the same reading without having to enter it again. In the Approvals module, when you view a report PDF, you can now select a template by which you would like to view the PDF. Now create mileage expenses for Electric vehicles using your mobile app. When you create a mileage expense simply choose the fuel type as 'Electric'. Also, when you add new vehicles to your mileage policy, you can associate this new fuel type for electric vehicles.

iOS App Updates

In addition to applying the custom statuses that were configured in the web app to the Approved and Reimbursed reports, you can now apply custom statuses to Submitted reports as well. Similarly, apply the custom statuses that were configured in the web app to Trips, Reports, and Advances in Rejected status. The supported OS version has been upgraded from iOS 11.0 to iOS 13.0. From this upgrade, all the new updates that are made in the app will be available only for devices with iOS version 13.0 or above.

If you use the India edition of Zoho Expense, whenever you create an expense, Zoho Expense will fetch the applicable taxes that are configured for your organization to help you apply the tax with ease. We have introduced an easy-to-use currency selection UI. When you select the currency for your expense or advance, the currencies list will be sorted alphabetically and you can use the Search bar to search for a currency quickly. You can now enable Advanced Autoscan from Settings. With the advanced crop option, crop the receipts that are uploaded in the image format accurately. When you create a new report or a trip, your default policy will be prefilled in your report creation and trip request forms. You can now create your own custom statuses for the Trips in your organization. Also, you can now add custom statuses for the Submitted and Rejected records.

Access Entity Lists from within Expenses

Admins can now manage Categories, Currencies, Projects, Customers, Taxes, and Paid Through Accounts, within the expense creation forms. While creating an expense, if the admin would like to add a new project, edit a customer, or delete a paid through account, they can do it by clicking Manage from the respective entity's dropdown to open the entity list in a new tab.

If you’re an approver, you can now provide a reason for editing the reports submitted by other users. You can also choose to notify the users regarding the update of report details. If the receipts you’ve uploaded for autoscan have failed due to your plan limit, you can now retry autoscanning the excess receipts the following day. If you're creating an expense with a currency other than the organization's base currency, Zoho Expense will now calculate and display the value of that expense in the base currency when you create an expense. Besides uploading receipts in JPEG and PNG formats, you can now add the receipts in .doc or .docx, .xls or .xlsx, and PDF formats for autoscan.

Restrict Recalling a Submitted Report

We've introduced a setting to restrict the users from recalling a submitted report if one of the approvers in the approval flow approves the report. In an approval flow, there may be more than one designated approver to approve a report. If you enable this option, the users can't recall a report to make changes even if one approver in the approval flow approves the report. This way you could save the time and effort required to recheck the recalled reports after approval.

An all-new section, My Settings, for users to configure their preferences. Users can view their basic information and configure default values for expense and trip creation forms. While creating an expense, if you enter a new merchant, the merchant details will be saved. Later, when you create new expenses and select that merchant, the expense category will be auto-filled.
