Refunds

When a customer requests a refund or a payment needs to be returned, you can issue it directly through Zoho Checkout. This section explains how to issue refunds and manage refunded transactions.

Note: The refund option is available only for supported payment gateways. Ensure your gateway supports this feature before proceeding.

Issuing a Refund

To issue a refund in Zoho Checkout:

  • Go to the Payments module and select the payment you wish to refund.
  • Click Refund in the top-right corner.
  • In the pop-up, enter the refund amount:
  • To issue a full refund, enter the total transaction amount.
  • To issue a partial refund, enter a specific portion of the total.
  • Enter the Reason for the refund.
  • Click Refund again to confirm.

Note: While the processing time depends on your payment gateway, most refunds typically take 3 to 5 business days to reflect in the customer’s account.

Once a refund is successfully processed, the customer automatically receives an email notification.

Insight: To notify customers automatically, ensure that Payment Refund notification is enabled under Email Notifications

Viewing Refunds

View and track all refunded transactions within the Refunds module. They are displayed in a list view with details such as Date, Credit Note Number, Customer Name, Email, Mode of Payment, and Amount.

Click a transaction to view the credit note associated with the refund. You can download or print the document by clicking Save as PDF or Print.

Filter and Sort Refunds

The actions you can perform to filter and sort refunded transactions are:

Filter based on date range

The refunded transactions can be filtered based on the date range. To do so: 

  • Go to the Refunds module.
  • Select the Date Range dropdown and choose your preferred range.

The transactions for the date range chosen are displayed.

Sort By

The columns displayed in the refunds module can be sorted based on your preference. You can sort them in ascending or descending order or based on the date created. To do so:

  • Go to the Refunds module.
  • Hover over the header of the column you want to sort and simply click.

Note: The arrow indicates the sort order of a column. An up-arrow denotes ascending order, while a down-arrow denotes descending order.

The selected column is sorted based on your preference.

Search for refunded transactions by Name, Credit Note Number and Email Address. To do so:

  • Go to the Refunds module.
  • Click the Search Bar in the top-right corner.
  • Enter at least 3 characters to generate search results.

Refunded transactions matching the particular name, email address or credit note number are displayed.
