How do I apply new workflow rules to existing transactions?

Workflow Rules are not applicable to existing transactions. They consist of a set of actions that will be executed only when a particular criteria is met, starting from the moment the workflow rule is created. For a workflow rule to be triggered while editing, the trigger for the workflow must be event based instead of date based and the option selected as ‘Created or Edited’. Here’s how:

  • Go to Sales/Purchases on the left sidebar.
  • Select a module for which you want to apply the workflow rule.
  • Select a transaction.
  • Click Edit.
  • Click Save.

Note: For a workflow rule to be triggered while editing, the trigger for the workflow must be event based instead of date based and the option selected as Created or Edited.

Insight: Workflow rules will not be applicable to transactions imported into your Zoho Books organization. You need to edit those transactions for the workflow to apply to them.
